Privacy Policy

MakoAnswer is a product of Mako Logics LLC (“Mako Logics,” “we,” “us”). This policy explains what we collect through our website and service, how we use it, and the choices you have.
Information we collect
- Information you give us — when you book a demo or email us, we receive your name, business, email, and any details you share.
- Call data we process for our clients— when we operate an AI receptionist for a business, we process the calls placed to that business (audio, transcripts, summaries, and caller details) on that business’s behalf, as their service provider.
- Caller identification— to screen spam and identify callers for our clients, we look up the name and line type publicly associated with an inbound caller’s phone number (a standard caller-ID/CNAM lookup, via Twilio) and cache the result.
- “Have Mae call you” demo requests — if you ask Mae to call your number from our homepage, we store the number you entered, your IP address, and your confirmation that the number is yours. We use this only to place that one call and to prevent abuse of the feature — never for marketing lists — and we delete these records automatically after 90 days.
- Payment information — subscriptions are billed by Stripe, our payment processor. Card details go directly to Stripe; we store only your name, email, and subscription identifiers.
- Usage data— analytics about how the website is used (see “Cookies & analytics” below) and standard server logs.
Cookies & analytics
- Session cookie — signing in to the admin or client dashboard sets one encrypted, httpOnly session cookie (
ma_session). No sign-in, no cookie. - Analytics— we measure page views and feature usage with our own first-party analytics (stored in our own database and shared across Mako Logics’ own properties, including our portal at makoai.studio) plus Vercel Analytics and Speed Insights, which are cookieless. We use a random per-browser-session identifier kept in your browser’s sessionStorage; it disappears when the tab closes.
- Bot protection — public forms use Cloudflare Turnstile, which may set its own cookies to distinguish humans from bots.
- Chat widget — our site chat is powered by MakoChat, another Mako Logics product; messages you type in the chat are processed to answer your questions.
How we use information
We use the information to provide and improve the service, respond to inquiries, set up and support client agents, deliver call summaries and leads to our clients, and keep the service secure. We do not sell personal information.
Service providers & AI processing
Calls answered by MakoAnswer are processed by artificial intelligence. We rely on trusted third-party providers to run the service: voice-AI infrastructure (Retell), large language models (OpenAI), speech synthesis (ElevenLabs), telephony and caller-ID lookups (Twilio), payments (Stripe), database and hosting (Supabase, Vercel), transactional email (Resend), appointment scheduling (Cal.com, only for clients who connect a calendar), and bot protection (Cloudflare). Call audio, transcripts, and the details callers share are processed by these providers solely to deliver the service — they are not used to train third-party AI models under our provider agreements, and are never sold.
Call recordings
Calls answered by MakoAnswer receptionists are recorded and transcribed to deliver call summaries, and every receptionist greeting includes a recording notice (“this call may be recorded for quality”). Where we operate a receptionist for a client, that client remains responsible for complying with the call-recording and consent laws of their jurisdiction.
Outbound calling & contact lists
Mako Logics staff can place outbound calls from our own business number through our internal admin tools. This is not a feature available to clients today. When a call is placed, we record the date, time, duration, the number dialled and the number shown as caller ID, so it appears in the call history and counts toward usage. Outbound calls are not recorded and not transcribed.
To make dialling practical, the contact list is assembled from people who have already made contact — names captured during inbound calls and business names supplied by the phone carrier — and a name can be added or corrected by hand. That list is never shared outside the business it belongs to, never used for our own marketing, and is deleted when an account is closed. Emergency numbers such as 911 cannot be dialled through this tool; it is not a substitute for a phone that can reach emergency services. Staff members who use the “ring my phone” option also have their own mobile number stored so we know which phone to ring.
Booking appointments
If the business you called has switched on appointment booking, the receptionist can place a booking on their calendar while you are on the phone. To do that we send your name, the email address and phone number you give us, and a short note about what you need, to that business’s scheduling provider (Cal.com), which puts the appointment on their calendar and emails the confirmation. If you choose not to give an email address, the confirmation goes to the business instead and your phone number is noted with the appointment. We keep our own record of the appointment so it appears alongside the call.
Sending call details to a client’s own systems
A business client can ask us to forward their completed calls to a system they choose — typically their CRM, or an automation service such as Zapier, Make or n8n. When that is switched on, we send that client’s own call details to the secure httpsaddress they give us: the caller’s name, company, email and callback number if the receptionist captured them, the reason for the call, the summary and transcript, and a link to the recording. We send this only to the destination that client configured, only for their own calls, and never to another client or for our own marketing.
Once the information reaches a system the client controls, that client’s own privacy practices govern what happens to it. If you spoke to a receptionist and want to know where your details went, contact the business you called, or reach us at the address below and we will point you to them.
Data retention & security
We retain information for as long as needed to provide the service and meet legal obligations. Demo-call requests are deleted automatically after 90 days; cached caller-ID lookups hold only the public business name associated with a number; call data processed for clients is retained per each client’s agreement; contact-form inquiries are kept while we work with you. We protect information with encryption in transit, access controls, and server-side handling of secrets.
Your choices
You may request access to, correction of, or deletion of personal information we hold about you by contacting us. If your data was processed on behalf of one of our business clients, we will direct the request to that client.
